You can use your existing google account to create a shared document (pref excel) and give access to all the gmail IDs..give full access (Read/write/del) to all the IDs..
We had a similar kinda excel last yr for BBLT where we had team contact details in one tab, mock scores in another and once the calls started flowing in, we had a tab to capture that also..

And we created a mail group with which we shared e-materials..

So all you have to do is...

• Create a shared excel and give access to all the gmail IDs once you get them
• Have 2-3 tabs with field headers for all info that we need to capture now
• Send invitation to all the GIDs asking them to update the required details
• Create a mail group in your account and send the same to all..if there are any new additions to the list of IDs, we all have to update our group in our respective accounts...
